Job Summary:

 

This recruitment will be used to fill one full-time Science Storekeeper position for the Department of Chemistry at Oregon State University (OSU ).

 

The Science Storekeeper makes available, through the operation of Chemistry Stores, chemicals and laboratory supplies for instructional and research labs. This position works in Chemical Stores, located in Gilbert Hall, as part of the Department of Chemistry.

 

The OSU Department of Chemistry serves a central role to the educational, research, and outreach missions of the University – delivering over 50,000 student credit hours of instruction each year while maintaining a vibrant graduate program with over 100 PhD students. The Department conducts cutting-edge research and scholarly activities focused on all areas of chemistry important to biology, materials, and the environment – including analytical, biological, bio-organic, environmental, materials, nuclear, and physical chemistry. This dynamic setting is ideally suited for nurturing and supporting instructional faculty in their efforts to support the Department’s educational mission, which impacts over 4000 students each year.

Key Responsibilities

 

Purchasing & Vendor Coordination (35%)

 

• Place orders for ChemStores stock and supplies using BennyBuy and electronic purchase orders.

• Approve purchases within a pre-determined dollar limit.

• Communicate with vendors via websites, email, phone, and in-person to place and manage orders.

• Monitor order status to ensure timely delivery and resolve stalled or delayed shipments.

• Investigate price increases and solicit competitive quotes to ensure cost-effective purchasing.

• Maintain special licensing for ethanol and specialty chemicals in coordination with OSU legal, government agencies, and vendors.

• Route completed purchase orders for invoice payment and maintain a detailed log of all transactions.

• Track invoicing for non-BennyBuy purchases and maintain organized files for all supply and equipment orders.

• Update item pricing and vendor notes with each new order.

• Collaborate with the department head to onboard new customers not affiliated with the university.

 

Inventory Control (30%)

 

• Receive and inspect chemicals, equipment, and supply shipments for accuracy and damage.

• Notify recipients and hold materials until pickup or delivery.

• Review inventory movement to adjust reorder points and eliminate dead stock annually.

• Resolve issues with broken or mispicked items by coordinating refunds or replacements with suppliers.

• Partner with EH&S to manage chemical spills and expired materials.

• Coordinate special deliveries between vendors and researchers.

• Maintain essential instructional and research lab supplies, meeting quarterly with Science Lab Preparators to assess needs.

• Conduct annual inventory audits and update records accordingly.

• Use computer systems for daily data input and report generation.

 

Stockroom Management (30%)

 

• Operate and maintain the solvent storage area, including handling and racking 55-gallon drums.

• Transfer chemicals, acids, compressed gas cylinders, lab supplies, and glassware between storage and stock areas.

 

Other Duties as Assigned (5%)

• Ability to prioritize tasks and coordinate multiple projects.

• Knowledge of:

 

• Warehouse operations and storeroom methods

• Shipping/receiving, delivery, stock rotation

• Inventory control procedures

• Transportation agencies and shipping methods

• Ability to maintain an inclusive and accessible environment and work collaboratively with students, faculty and staff with diverse backgrounds and perspectives.

 

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

 

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess, and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.

 

What We Would Like You to Have


 

• Experience in safely handling chemicals.

• Experience in a warehouse environment.

• Ability to move heavy equipment/supplies using carts, hand trucks, etc.

• Proficiency with:

 

• Microsoft Excel, Word, Outlook

• Inventory control software or Point of Sale systems

 

• Strong customer service skills for diverse individuals with varied needs and deadlines.

 

Working Conditions / Work Schedule

 

Work in environments with potentially hazardous chemicals.

 

Tasks performed in a warehouse setting:

 

• Extended walking/standing on hard surfaces

• Lifting/pushing/pulling up to 50 pounds

 

Exposure to:

 

• Noise

• Temperature extremes (hot/cold)

• Dust
