
Front Desk Assistant
Boulder Office/Front Desk Duties & Expectations
Primary Job Responsibilities:
- Greet and interact with patients, staff and visitors in a prompt, professional and welcoming manner, determine the purpose of visit, and direct them to take a seat while you notify the appropriate practitioner.
- Checking patients in and out
- Rebooking for next visit
- Collecting payment on balances due at time of visit.
- Promptly and professionally answers telephone calls, texts and emails.
- Schedules appointments for patients either by phone when they call in or in person after an office visit.
- Uses scheduling software to match therapist/clinician availability with patient’s preferences in terms of date and time.
- Communicates as needed with therapist/clinicians and other staff about any patient concerns or issues related to scheduling.
- Responsible for keeping reception, patient waiting areas, and break room clean and organized/tidy.
- Follows all policies on HIPAA, safety and security; maintains restricted areas safe by safeguarding keyless entry codes and computer system passwords in strict confidentiality. You will be required to take an online HIPAA certification course, provided by PR Labs, good for one year from the date of certification
- Uses customer service principles and techniques to deal with patients calmly and pleasantly.
- Manages & communicates office supply needs to management.
- Performs various cleaning duties such as
- Trash collection and disposal in the dumpster outside the building
- Vacuuming lobby, gym space, walkways/hallways and open offices when it’s slow
- Recovery Lab tidying, emptying of trash and wiping down (sauna doors) & shower room fixtures
- Washing cups or dishes from patients in the break room & keeping countertops tidy
Performance Requirements:
- Skills working with our scheduling & merchant processing system, booking appointments and collecting payments at the desk.
- Ability to use desk phones to communicate with clients and staff.
- Ability to anticipate needs within the office without direct supervision
- Warm and welcoming attitude, willingness to help others with random, assorted duties.
- Communicate clearly and effectively both verbally and in-writing, both patients and co-workers.
- Work the schedule consistently and without constant disruption for time away from the office. (This means more than half the time scheduled per week/month)
Salary:
- $18 per hour starting pay, with potential for raise after 90 days
- Potential raise commensurate with performance at duties assigned, attendance and attitude.
- Usage of Recovery Lab on off hours & gym equipment/space usage at no cost when not being used by personal trainers/PT’s (after hours-after 6pm usually)
- Discount on services (massage at 35% off) and practitioners offering discounts of their own, depending on each practitioner.
Hours: 15-18 hours per week, every other Saturday, 9 am-4pm is required.
