Position Overview
USLAW NETWORK, Inc. (“USLAW”) is seeking a dynamic and detail-oriented Meeting and Events Specialist to join our team. This full-time remote position is ideal for a proactive professional who is passionate about planning and executing exceptional in-person events. The specialist will help manage approximately 10 - 15 events annually, delivering outstanding experiences to our member firms., their invited clients, and corporate partners. This is a highly visible role that requires superior customer service skills, polished professionalism, and the ability to manage all event logistics from start to finish. The right candidate thrives in a fast-paced environment, has a proven ability to juggle multiple priorities, and consistently brings creativity, energy, and enthusiasm to their work.
The Meeting and Events Specialist will be employed by RMY Management Group, LLC, the association management company serving USLAW. The position reports directly to Roger M. Yaffe, CEO of USLAW and President of RMY. While USLAW is headquartered in Coral Springs, Florida, candidates may be based anywhere in the continental U.S.. Travel is required.
Key Responsibilities
- Event Planning & Coordination
- Manage all facets of event planning including venue sourcing, vendor negotiations, and contracting.
- Coordinate venue logistics such as food & beverage, audiovisual, and room setups (including BEO and AV documentation).
- Oversee pre-event planning, including materials ordering, shipping, and setup logistics.
- Collaborate with internal stakeholders and external partners to define event goals, content, and programming.
- Develop event timelines, run-of-show documents, and production schedules to ensure smooth execution.
- Budgeting & Financial Management
- Develop, maintain, and reconcile budgets for all events.
- Review vendor invoices for accuracy and authorize payments.
- Track expenses and prepare cost analysis for future forecasting and planning.
- Compliance & Accreditation
- Ensure compliance with legal, insurance, health, and safety requirements.
- Manage CLE (Continuing Legal Education) and adjuster accreditation processes.
- On-Site Execution
- Serve as lead staff during events to oversee logistics, troubleshoot issues, and deliver high-touch service to attendees.
- Work collaboratively with on-site teams and temporary staff to ensure seamless event flow.
- Ensure branding, signage, and event collateral are consistent and professionally presented.
- Post-Event Analysis
- Manage online evaluations and develop comprehensive post-event report and recommendations for future improvement.
Qualifications & Skills
- Bachelor’s degree and 2–6 years of professional experience in meeting/event planning, DMC operations, or hotel convention services.
- Experience with vendor negotiations, logistics coordination, and onsite event execution.
- Understanding of current trends and best practices in the meetings and hospitality industry.
- Highly organized with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Strong interpersonal and client service skills with a collaborative, can-do attitude.
- Tech-savvy and proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Self-motivated, resourceful, and adaptable under pressure.
- Willingness to roll up sleeves and support the team in any way necessary.
- Ability and willingness to travel for events across the United States.
Compensation
Annual compensation for this position will range from $55,000 to $70,000 annually. Benefits are included.
