Fabiola De Armas P.A. is a fast-growing, Latina-owned law firm based in Miami, FL, focused on delivering exceptional estate planning and probate services. We are currently seeking an Office Manager who thrives in a fast-paced legal setting and is ready to lead with clarity, confidence, and care. This role is ideal for someone with law firm and estate planning experience, looking to grow in the legal field.

 

Please Note: This role requires prior estate planning experience in a law firm setting. Applicants without relevant experience in estate planning will not be considered.

 

Key Responsibilities

  • Oversee and coordinate the estate planning process, monitoring case movement and task completion across the team to ensure timely progress.
  • Assign tasks to Legal Assistants and manage overall workflow and accountability.
  • Review and manage client billing, including running insurance coverage checks, invoicing clients, and submitting insurance payments.
  • Prepare and send client engagement agreements with professionalism and accuracy.
  • Supervise and support a small team of Legal Assistants—conducting check-ins, answering questions, reviewing work for patterns or gaps, and guiding performance.

Qualifications:

English: Fluent in written and verbal communications

Spanish: Fluent in written and verbal communications

Customer Service experience: 2+ years

Law Firm experience: 2+ years

Estate Planning experience: 1+ years

Team Management experience: Strongly preferred

Client Relationship Management System experience: Required (MyCase experience a plus)

Strong written and verbal communication skills

 

 

Work Schedule:

Full-time, Monday through Friday from 9am to 5pm EST

 

This is a fully remote role; however, you must be available exclusively during these hours. Applicants can live outside of the Eastern Standard Time zone, but must work Eastern Standard Time hours. Applicants with other work commitments during Firm hours of operation will not be considered.
