Who We Are
The Department of Parks & Recreation, Youth & Countywide Sports Division (YCSD) focuses on providing athletic opportunities for county residents and establishing a convenient, streamlined one-stop shop for all youth sports programs. This division is dedicated to creating healthy communities by increasing the health and wellness benefits available through its programming and making it easier for youth to engage in athletics. A primary objective of this division is to build a connected, countywide, comprehensive youth sports system grounded in equity and accessibility while supporting the positive character and skill development of the young people within Prince George's County.
Description
YCSD is comprised of two units, including Sports and Permitting & Field Operations. The Administrative Assistant III will be responsible for direct administrative support to the Assistant Division Chief and the Park Property Permitting Manager. Duties include controlling workflow and establishing office procedures, collecting, preparing, and processing data and documents, monitoring processes to ensure consistency, accuracy, and conformance with policies and procedures. Must use initiative and independent judgment in executing assignments.

- Support the Assistant Division Chief and Park Property Permitting Manager, prepare correspondence, maintain calendars, coordinate training/travel requests, organize meetings/conference calls, schedule conference rooms, prepare meeting notes, etc.
- Assist the Administrative Supervisor and provide support as needed.
- Serve as an administrative approver for intermittent Kronos timecards.
- Process confidential personnel information – personnel actions and performance evaluations; maintain personnel files. Monitor the evaluation tracking system and ensure timely submissions.
- Serve as fingerprint liaison.
- Event coordination: location/room logistics, AV needs, meeting invitations, preparation of materials and information packets, gathering of attendance sheets, coordination of catering as needed, etc.
- Collect data, create and maintain spreadsheets, and accurately compile and prepare information for various budgets, payroll, projects, events, reports, meetings, and presentations.
- Records management – maintain automated tracking system of document flow, as well as keep digital and paper document filing systems as appropriate.
Preferred Knowledge, Skills & Abilities
- Administrative experience managing competing priorities in a fast-paced environment.
- Self-starter, who takes initiative, and can manage a work program with minimal supervision.
- Proficiency with MSOffice–Outlook, Word, Excel, PowerPoint, Microsoft and Google Forms, etc.
- Discretion handling confidential and sensitive information; business acumen.
- Impeccable oral, written, and proof reading skills, with a focus on accuracy and detail.
Minimum Qualifications
Minimum Qualifications (MQs):
1. High school diploma or a Certificate of General Educational Development (GED).
2. Four (4) years of progressively responsible experience that includes at least two (2) years in administrative and clerical support work and at least one (1) year of technical support experience in the administrative management areas of the specific position to be filled.
3. An equivalent combination of education and experience may be substituted, which together total 4 years.
