Nonprofit Operations Intern

Nonprofit Operations Internship  

Organization and Internship Overview: Our organization is a philanthropic non-profit dedicated to increasing access to the justice system for people of limited means. We achieve our mission by providing grants and awards to non-profit organizations that offer free civil legal assistance across the state. 

We are currently seeking a highly organized and adaptable individual to join our team as a Operations Intern. This internship offers a unique opportunity to gain hands-on experience in a professional setting in the non-profit sector while supporting both the Development and Executive Departments. The intern will provide critical administrative and operational support, helping ensure the efficiency and effectiveness of key organizational functions.  

This internship is ideal for someone interested in nonprofit operations, development, and executive-level administration. Strong organizational skills, flexibility, and commitment to our mission are essential.  This is a part-time, paid internship for one semester, with the opportunity to extend additional semesters based on organizational needs and intern performance. 

Scope of Position 

Development Department Support: 

1. Gift Recording, Stewardship, and Donor Relations 

  • Accurately record all gifts and donations into the donor database in a timely manner.
  • Generate and prepare acknowledgment letters for donor contributions.
  • Assist in executing donor stewardship touchpoints such as thank you notecards (e.g. Board & Executive Director notecards), holiday mailings, and milestone recognitions.
  • Maintain digital records of gifts, pledges, matching gifts, and in-kind donations.

2. Development Department Administrative Support 

  • Support the production and coordination of donor and event mailings, including print runs, assembly, and postage.
  • Assist with report preparation and materials for committee and board quarterly meetings, and record and draft accurate meeting minutes when requested.

3. Special Events Logistics and Registration Support 

  • Provide logistical support for special events, including RSVP tracking, nametag creation, and registration materials.
  • Assist the planning team with event-related duties.
  • Serve as onsite support during events: manage check-in, guest assistance, and troubleshoot fundamental logistical issues.
  • Help track post-event engagement and follow-up communications, including thank you notes.

4. Perform other duties as assigned.

Executive Department Support: 

  1. Assist with planning and preparation and provide on-site support for quarterly Board meetings and FFLA’s Annual Awards Ceremony.
  2. Assist with updating and producing Annual Board Orientation materials.
  3. Record and draft accurate meeting minutes.
  4. Assist with maintaining and updating contact lists and databases for Board members and committees.
  5. Prepare expense reports and process invoices.
  6. Assist with coordinating, scheduling, and managing calendars for executive reminders, committee meetings, and Board meetings.
  7. Assist with contract upkeep and ensure record compliance.
  8. Assist with maintaining document retention systems and support scanning projects.
  9. Respond to periodic public inquiries in a timely and professional manner.
  10. Organize and coordinate quarterly staff events.
  11. Perform other duties as assigned.

General Office Support: 

  1. Organize and categorize scanned IOTA department forms on SharePoint.
  2. Assist the IOTA department monthly with researching attorney and law firm information for pending accounts.
  3. Organize, scan, and file Finance Department records in support of FFLA’s annual audit.
  4. Provide backup support to other departments as needed.

Qualifications: 

  • Previous experience in an administrative or support role is highly desirable.
  • Excellent attention to detail, time management, and organizational skills.
  • Strong interpersonal, written, and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Excel, Word, Teams, PowerPoint).
  • Familiarity with donor management systems (e.g., Blackbaud) is a plus.
  • Ability to manage multiple responsibilities and adapt to shifting priorities in a fast-paced work environment.
  • Demonstrated commitment to the mission and values of our organization.

Time Commitment & Compensation: 

  • 15-20 hours per week; minimum 3-month commitment.
  • $20 per hour with the opportunity for school credit if allowed by the college/university of applicant.
  • This is a part-time internship for one semester, with the opportunity to extend additional semesters based on organizational needs and intern performance.
  • Must be able to work in-person at our Maitland office during standard business hours.
