Opportunity:
Holden Forests & Gardens is seeking a Benefits & Payroll Administrator to support the People & Culture department. The Benefits and Payroll Administrator primarily provides administrative support with benefits, payroll and employee records/HRIS maintenance. In addition, this role supports HF&G’s safety, wellness, onboarding, employment and employee engagement programs.
Position Details:

- Reports to: VP of People & Culture
Key Responsibilities:
Key responsibilities of the Benefits & Payroll Administration position includes but are not limited to:
Payroll and Employee Records/HRIS
- Responsible for processing biweekly payroll, ensuring changes are authorized, documented, and saved in payroll and employee files.
- Creates files and maintains electronic and paper employee files and manages them according to records retention policies.
- Produces and maintains necessary reports for ACA, EEO, 403B, and other compliance needs and authorized employee requests.
- Sets up payroll platform to implement policy changes.
- Troubleshoots payroll system issues as needed.
Benefits & Wellness
- Serves as the primary liaison with all benefit carriers in order to manage the day-to-day needs of staff such as enrollment, termination, and various questions from staff.
- In conjunction with VP of People & Culture helps coordinate annual open enrollment activities for organization and completion of necessary action by employees.
- Helps coordinate all FMLA activities and ensures compliance.
- Ensures accurate documentation and recordkeeping for staff changes and compliance related reporting such as 403b activity and insurance changes.
- Participates in annual audit process to ensure proper internal controls.
- Participate on the Wellness Committee and assist employees with wellness incentives.
- Manages Flexible Spending program/TPA.
- Manages COBRA needs and TPA.
Safety and Workers’ Compensation
- Provide support on the HF&G Safety Program
- Attend external safety meetings
- Record incidents and accidents as necessary
- Conduct OSHA reporting each year
- Assist with safety campaigns and training
- Along with managers, support the safety program to ensure that all employees are properly trained in safety procedures prior to participation in activities. Promote a culture of safety by leading by example and encouraging open communication about safety concerns.
Employment
- In conjunction with the HR Manager, works to successfully onboard new employees, ensuring they are well equipped to be successful.
- Acts as a backup to the hiring manager for job postings.
- Assists in application reviews, phone screens, and interviews for seasonal and permanent positions.
- Manage returning seasonal process.
- Performs pre and post offer checks – reference checks, background checks, etc.
- Communicate new hire and exit process is followed by managers
- Assist in coordinating exit interview activities, reviews with terminated employee benefits, COBRA options,
- In conjunction with VP of People & Culture, ensure compliance with all government regulations and requirements including poster postings and other required employment data
- Creates contracts for subcontract employees and conducts necessary background checks
Other
- Reviews and reconciles all benefit invoices and submits to AP service
- Participates in developing department goals and objectives
- Works with People & Culture and the Social Committee to coordinate staff events.
Qualifications and Skills:
- High School Degree/GED required. Bachelor’s degree in human resource or related experience preferred
- 3+ years HR Compliance, Payroll, Benefits and recordkeeping experience
- Excellent communications skills (writing, speaking and listening)
- Experienced with processing payroll – Paycor preferred
- Experience with Ohio BWC preferred
- Excellent attention to detail and process required
- Strong computer skills (Word, Excel and HRIS systems)
Physical Requirements
