Position Overview

 

This role provides support to the Chair by tracking and monitoring departmental budgets, providing general departmental support and communication, assisting in promotion and tenure documentation coordination, providing administrative support in the hiring processes, and overseeing student workers.

 

Duties and Responsibilities

 

1. Maintain English department operating budget. Maintain department spending priorities and provide recommendations to Chair on progress and potential issues; oversee all purchasing and reimbursements; process expense reports for faculty and graduate students. Maintain and update department member access codes using CCURE .

 

2. Provide English departmental office support including but not limited to organizing departmental files and records, supporting Chair and directors of study in organizing teaching loads and course assignments, support Chair in annual performance reviews of faculty, acting as first point of contact for departmental questions, and sending out department-specific announcements as needed.

 

3. Provide a variety of administrative support for graduate programs, Honors, Core Curriculum, interdisciplinary programs, and advising and registration.

 

4. Assist in departmental promotion and tenure process. Some responsibilities include soliciting and organizing undergraduate and graduate letters, organizing candidate dossiers, proofread materials, and organizing and catalog publications.

 

5. Assist in departmental faculty hiring process including: start requisition process, coordinate and disseminate all application materials to appropriate search committee members, organize and coordinate campus visits, and process appointment dossiers.

 

6. Assist in Event Scheduling (department meetings, invited speakers) by processing speaker requests, handling hotel booking, reimbursements, and facilitating communication between department and campus and community stakeholders (e.g., Marquette Today, College Office)

 

7. Assist in planning student recruitment events, admitted student events, and departmental admissions visits.

 

8. Responsible for the supervision of student employees which includes but is not limited to hiring, training, disciplinary actions, ending the student’s assignment, etc.

 

Required Knowledge, Skills and Abilities

 

High School Diploma

 

A minimum of 2 years of related experience.

 

Must be able to create and maintain excel spreadsheets for budget and expense management.

 

Previous experience and/or ability to quickly learn procurement, accounting and other software.

 

Must be able to effectively communicate verbally and in writing.

 

Proficiency in Microsoft Office (Word, Excel, PowerPoint) and web-based and social media applications.

 

Skills in project and budget management.

 

Excellent customer service; ability to work with a wide variety of constituencies (students, parents, Marquette faculty and staff).

 

Good organizational and problem-solving skills, flexibility, attention to detail, ability to maintain confidentiality.

 

Ability to work independently and to prioritize and complete multiple tasks consistent with assigned timelines.

 

Preferred Knowledge, Skills and Abilities

 

Bachelor’s degree
