Executive Assistant

Florida Palm Construction (FPC) is a dynamic and scaling construction company based in South Florida. Since our founding in 2014, we’ve successfully managed projects ranging from $50,000 to $10 million across the Commercial, Government, and Specialty Residential sectors. 

 

We are currently seeking an Executive Assistant (EA) to assist the CEO and President with multiple projects from planning through delivery. The EA would be given the opportunity to learn the industry and about running a business within our Construction Team, ensuring that our Marketing, Office Management, and Bookkeeping stays on track while maintaining profitability targets and supporting FPC’s position as an employer of choice.

Key Responsibilities 

Executive Assistant: 

  • Bookkeeping:
    • Assist with basic bookkeeping tasks such as data entry, invoice processing, and expense tracking.
    • Reconcile financial records and maintain accurate documentation.
    • Collaborate with the finance team to ensure timely payments and financial compliance.
    • Run Accounts Payable every week on Thursday to appropriate vendors. 
    • Manage open and new bonds needed with Estimating and project management team. 
  • Office Management:
    • Oversee office operations, including maintaining supplies, equipment, and facilities.
    • Coordinate office maintenance and repairs as necessary.
    • Implement and maintain efficient filing systems and procedures.
  • Marketing Assistance:
    • Provide administrative support to the sales team, including preparing sales materials and reports.
    • Assist with customer inquiries, order processing, and follow-up communications.
    • Collaborate with the marketing team to support sales initiatives and promotional activities.
    • Manage Social Media Calendar, Create flyers for different events, and powerpoints for upcoming company presentations 
  • Administrative Support:
    • Manage calendars, schedule appointments, and coordinate meetings for executives.
    • Prepare correspondence, reports, and presentations as needed.
    • Screen and direct phone calls and emails to appropriate parties.

Qualifications & Skills 

  • Bachelor’s degree in Business, Accounting, Marketing or related field (preferred). 
  • Understanding of basic accounting principles and marketing. 
  • Proficient in Microsoft Office (Word, Excel, Projects) and CRM Softwares (such as Copper). 
  • Strong ability to learn processes and follow them. 
  • Excellent written and verbal communication skills. 
  • Highly organized with the ability to multitask and meet deadlines. 
  • Strong interpersonal skills and a collaborative, problem-solving mindset. 
  • Good communication/English skills 
  • Good understanding of math
  • Process oriented, big picture thinker that can be creative 
  • Must have a valid Florida Driver’s License with a good driving record 
  • Positive attitude 
  • Willing to learn 
  • Strong work ethic   
     

 Compensation 

  • Starting $50,000 - $58,000 annually based on experience and qualifications 
  • Monday–Friday, 8:00 AM – 4:30 PM 
  • Comprehensive industry training, with opportunities to grow in skills and construction knowledge, and working side by side with the CEO and President daily.
