Real Estate Paralegal/Legal Secretary

Salary Range: $25 - $30 per hour

 

Leading commercial and industrial developer seeking a highly organized and detail-oriented Paralegal or Legal Secretary to support our in-house legal and real estate teams. This role offers the opportunity to work in a dynamic environment assisting with a wide range of transactional responsibilities.

This position requires a detail-oriented self-starter with excellent communication skills, strong attention to deadlines, and the ability to develop and maintain effective systems and processes. The ideal candidate will have a strong administrative or paralegal background, an interest in real estate, and experience in entity formation and maintenance, legal research, and assisting with the structuring and execution of real estate transactions. Litigation experience is not required but preferred.

Responsibilities include:

  • Assist with due diligence in real estate transactions, including reviewing title work, surveys, and related documentation.
  • Draft and prepare routine correspondence, cover letters, and transactional documents.
  • Conduct research and analysis related to real estate matters, including property ownership, zoning and land use regulations, title history, and municipal ordinances.
  • Coordinate with title companies, lenders, and third parties to facilitate real estate closings.
  • Maintain organized electronic and hard-copy files, ensuring all files are up-to-date and accessible.
  • Assist with entity formation, maintenance, and document filings.
  • Help schedule meetings, closings, and other time-sensitive matters.
  • Communicate professionally with team members, tenants, brokers, and municipal officials.
  • Support attorneys and other team members on project management and follow-up tasks.

 

Minimum Qualifications:

  • Associate's degree in paralegal studies or a related field required; bachelor's degree or paralegal certification with a focus on real estate is preferred.
  • At least 2 years of administrative or paralegal experience; experience in real estate law or transactions strongly preferred.
  • Familiarity with real estate documents, corporate governance procedures, and standard legal terminology.
  • Exceptional organizational and time management skills to handle multiple tasks and deadlines effectively.
  • Strong attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work under pressure, meet deadlines and manage priorities.
  • Proficiency in Microsoft Office and other standard office software.
  • Strong decision-making and problem-solving skills.
