Showroom Manager

DEBNER Showroom Manager – Client Experience

Position Overview: The Showroom Manager is responsible for overseeing the daily operations of the showroom while supporting the needs of all departments. This role plays a pivotal part in cultivating a positive workplace culture by fostering teamwork, implementing engagement programs, and ensuring a rewarding employee experience. Additionally, the Showroom Manager is committed to delivering exceptional client experiences by maintaining a welcoming and inspiring showroom environment and providing customer support when needed. This holistic approach ensures seamless showroom operations while exceeding both employee and customer expectations.

Key Responsibilities:

Operations

  • Conduct daily showroom walkthroughs (morning and evening), coordinating with Warehouse and Operations Staff (Dustin or Danny) for product repairs as needed.
  • Manage front door operations, ensuring proper opening/closing procedures, including setting up the welcome video at reception.
  • Oversee coffee machine maintenance, including daily rinsing, weekly deep cleaning, and coffee bean inventory management.
  • Manage food offerings in the Ice House, ensuring weekly reorders and daily restocking as needed.
  • Monitor and restock paper products (cups, plates, bowls, napkins) in the Ice House.
  • Oversee printer functionality, including paper and toner supply management, troubleshooting errors, and coordinating repairs as necessary. Ensure adequate backstock of paper and toner.
  • Prepare and maintain conference rooms, including daily setup, power checks, AV testing for Teams meetings, and chair reconfiguration. Provide IT support for meeting room malfunctions as needed. Check all refrigeration drawers are prepped with beverages.
  • Manage showroom music, ensuring appropriate selections and volume levels throughout the day.
  • Maintain workspace organization and cleanliness standards.

Sales Support

  • Manage and maintain the resource library, ensuring sample availability, organization, and replenishment.
  • Oversee loaner/demo product logistics, including tagging, photographing, and tracking items in Smartsheet, as well as following up with sales representatives on returns.
  • Schedule and coordinate vendor presentations, maintaining the presentation calendar, sending invites, and handling setup and cleanup.
  • Assist with client meetings, including food ordering, setup, welcome slide formatting, and ensuring meetings remain undisturbed.
  • Handle shipments and deliveries for Sales via Beeline, FedEx, USPS, and UPS, including label creation, scheduling pickups, and providing tracking information.
  • Provide quotes for part and repair requests.
  • Assist in creating and formatting cutsheets for projects and submission documents as needed.
  • Coordinate MillerKnoll product updates and training sessions.
  • Support sales meetings with preparation and setup when required.

Administrative Support

  • Answer and direct calls from the main phone line, including voicemail follow-ups.
  • Manage the main email inbox, responding to potential clients and directing messages appropriately.
  • Serve as the primary showroom receptionist, welcoming visitors, interviewees, and clients while ensuring smooth transitions to appropriate contacts.
  • Receive and distribute daily mail.
  • Lead New Hire Orientation by planning and scheduling the first-week agenda, preparing welcome baskets, and ensuring a smooth onboarding experience.
  • Research and coordinate travel arrangements for conventions, client trips, and out-of-state training as necessary.
  • Track and report showroom traffic data, including client meetings and events, providing monthly reports to leadership.

Financial Management

  • Oversee showroom budget for supplies, tracking and categorizing receipts for the accounting team.
  • Gather, organize, and format data for the monthly forecast update, collaborating with sales representatives and delivering finalized reports to leadership.
  • Maintain confidentiality regarding internal financial, forecast, and company information.

Event Coordination

  • Plan and coordinate all showroom-hosted events.
  • Manage RSVP lists for large-scale events, tracking attendance and sending invitations.
  • Oversee catering and bartender service for events, including ordering, setup, and cleanup.
  • Schedule meeting room reconfigurations with Warehouse and Operations staff (Dustin or Danny) to accommodate event needs.
  • Ensure proper event wrap-up, including locking up and post-event cleanup.

Qualifications & Skills:

  • Strong leadership and organizational skills with a proactive and detail-oriented approach.
  • Exceptional communication and interpersonal abilities to foster positive team dynamics and client interactions.
  • Ability to manage multiple tasks efficiently in a fast-paced environment.
  • Experience in operations, customer service, or sales support preferred.
  • Proficiency in Microsoft Office Suite, Smartsheet, and AV/IT troubleshooting for conference room setups.
