Administrative Assistant

Location: New Hyde Park, Long Island, NY
Job Type: Full-Time, In-Office
Schedule: Monday – Friday 8:30AM - 5:00PM

Position Summary:
We are seeking a motivated and detail-oriented Administrative Assistant to support our day-to-day operations. The ideal candidate is eager to learn, takes initiative, and is excited to build a long-term career in the fire protection field. You’ll play a key role in keeping the office organized and efficient, supporting various departments, and learning our company-specific systems and procedures.

Key Responsibilities:

  • Provide administrative support to project managers, technicians, and the leadership team.
  • Assist with scheduling, data entry, filing, scanning, and document management.
  • Answer phones, direct calls, and handle general office correspondence.
  • Help prepare proposals, reports, inspection paperwork, and job folders.
  • Learn and use company-specific fire protection software (training provided).
  • Use Microsoft Office (Outlook, Excel, Word) to create and manage documents and spreadsheets.
  • Help maintain compliance documentation and customer records.
  • Support the coordination of service appointments and project timelines.
  • Assist in maintaining organized office operations and supply inventory.

Qualifications:

  • 1+ years of administrative or office experience preferred.
  • Comfortable working full-time in the office.
  • Proficient in Microsoft Office (especially Outlook, Word, and Excel).
  • Strong organizational skills with high attention to detail.
  • Excellent verbal and written communication skills.
  • Positive attitude with a willingness to learn and grow within the company.
  • Self-starter who takes initiative and thrives in a fast-paced environment.
