Administrative Assistant
Location: New Hyde Park, Long Island, NY
Job Type: Full-Time, In-Office
Schedule: Monday – Friday 8:30AM - 5:00PM
Position Summary:
We are seeking a motivated and detail-oriented Administrative Assistant to support our day-to-day operations. The ideal candidate is eager to learn, takes initiative, and is excited to build a long-term career in the fire protection field. You’ll play a key role in keeping the office organized and efficient, supporting various departments, and learning our company-specific systems and procedures.
Key Responsibilities:
- Provide administrative support to project managers, technicians, and the leadership team.
- Assist with scheduling, data entry, filing, scanning, and document management.
- Answer phones, direct calls, and handle general office correspondence.
- Help prepare proposals, reports, inspection paperwork, and job folders.
- Learn and use company-specific fire protection software (training provided).
- Use Microsoft Office (Outlook, Excel, Word) to create and manage documents and spreadsheets.
- Help maintain compliance documentation and customer records.
- Support the coordination of service appointments and project timelines.
- Assist in maintaining organized office operations and supply inventory.
Qualifications:
- 1+ years of administrative or office experience preferred.
- Comfortable working full-time in the office.
- Proficient in Microsoft Office (especially Outlook, Word, and Excel).
- Strong organizational skills with high attention to detail.
- Excellent verbal and written communication skills.
- Positive attitude with a willingness to learn and grow within the company.
- Self-starter who takes initiative and thrives in a fast-paced environment.
