Office Overview:
Eskenazi Health’s mission is to Advocate, Care, Teach and Serve, with special emphasis on the vulnerable populations of Marion County, Indiana. Eskenazi Health is one of the leading providers of health care in Central Indiana, providing a comprehensive range of primary and specialty care services within our 327-bed hospital and inpatient facilities as well as 14 community health centers, known as Eskenazi Health Center, located throughout Indianapolis.
The Talent Acquisition HR Assistant greets applicants, instructs and assists with the application process, directs appropriate team members and/or interviewing department. This position assists the Talent Acquisition team with the onboarding process for new hires, and various administrative tasks tied to record retention, I9/work authorization, file and position number auditing, sourcing initiatives, and active projects.
This position will have dedicated desk space in the human resources office, located in the administration building next to Eskenazi Health hospital – a short walk from IUPUI. This role involves working with the Talent Acquisition team directly, the team is hybrid, however members of the team are scheduled in office every weekday.
Essential Duties and Responsibilities:
Assist Talent Acquisition Specialists (25%)
- Assists Talent Sourcer with administrative tasks, to aid in preparing, executing, and maintaining sourcing strategies and initiatives
- Provides support as needed to the Talent Acquisition Analyst tied to active projects and reporting
- Supports the employee referral program; drafts bi-monthly email promotions and provides marketing ideas to further promote program and increase utilization
Supports interview and onboarding process (25%)
- Greets applicants/candidates, instructs and assists with application process, directs to appropriate team member and/or interviewing department
- Assists with the physical calendar; updates spreadsheet with demographics to complete medical registration for new employee physical
- Assists with new hire on-boarding process; prints on-boarding forms and copies forms of identification and certifications
- Greets visitors, validates parking according to department guidelines (physicals, interviews, etc.)
File Auditing and Retention (40%)
- Audit new hire and transfer files; reviews and verifies incoming and outgoing documentation for completeness, accuracy and compliance with established policies and procedures prior to their pre-employment physical or transfer date.
- Audits and modifies position control number to align with requisition
- Assist with file maintenance; purging of terminations, name change tracking, filing, and tracking/completion per retention guidelines
- Assist with preparing and scanning documentation into electronic filing system OnBase
- Assists in preparing recruitment/interview packets and escorts candidates as needed
ASSOCIATED JOB DUTIES (10%)
- Performs various background checks i.e., references, license/certification verifications, criminal history background checks, Office of Inspector General, SAM, and sex offender list verifications as requested
- Performs related work in support of Human Resources and special projects assigned to the team
- Provides support to HR Administrative Specialist (Employment) when requested and performs his/her job duties as assigned.
Tools and Equipment Used:
Word processing skills and ability to work effectively with standard office equipment that includes a computer, printer, copier, fax machine and scanner

Students will have the opportunity to be innovative as they assist with marketing projects and propose their own ideas, which includes preparation, proposal presentations, planning/design, implementation, execution, and tracking ROI.
- Problem Solver – Students will collaborate with the Talent Acquisition team to review, provide, and implement solutions for inefficacies they or a member of the team has identified, to streamline processes – while improving their problem-solving skills through the experience.
Qualifications:
Possess at least sophomore status at IUPUI (26+ completed credit hours). Have and maintain a cumulative GPA of 2.75 or greater. Major in Human Resources, Business, Public Health, or related; preferred. Must have at least one (1) year of customer service experience. Federal work study required.

Eskenazi Health believes that in order to best ensure the safety of our patients, community and employees, it is important that everyone receives the COVID-19 vaccine.
