Office Administrator

We are a growing, values-driven glass and storefront business seeking a highly organized and proactive Office Administrator to join our team. This role is essential in ensuring smooth communication between field and office staff, supporting project management, and maintaining operational efficiency. The right candidate will be motivated to grow with the company, contribute to a positive work culture, and help us set a standard of professionalism in our industry.

 

Key Responsibilities:

 

  • Manage scheduling, calendars, and internal coordination between field and office teams
  • Serve as the first point of contact for client and vendor communications—calls, emails, and inquiries
  • Support project managers with administrative tasks including document handling, call follow-ups, and email correspondence
  • Track and manage invoices, purchase orders, and expense entries using QuickBooks Online
  • Maintain and update job costing spreadsheets (basic Excel and Google Sheets proficiency required)
  • Keep records organized and accessible, contributing to process improvements and operational clarity
  • Monitor key workflows such as quotes, material orders, and subcontract paperwork
  • Assist in tracking deadlines, reminders, and follow-ups to ensure projects move forward without bottlenecks

  • Familiarity with construction, trades, or small business operations (not required but helpful)
  • Prior experience in an administrative, coordinator, or assistant role
