HealthForce Kentucky, in partnership with OCTC, is seeking a qualified and motivated individual for the position of Office Coordinator. This role reports directly to the Chief Executive Officer and is responsible for essential office administration.

This position is a combination of office operations, general accounting, purchasing, processing documents/agreements, and front-line customer service. Must be organized, detailed oriented, good communication skills, and be personable. Position is grant funded and continuation is contingent upon future funding.

Essential duties and responsibilities: 
The duties/responsibilities of this position include, but are not limited to: 

  • Collaborate with the internal HealthForce Kentucky team and external educational partners to provide support to include direct interaction with participants, act as a guide of the facility, manage the flow of participant foot traffic, and support their general needs while they are participating in HealthForce Kentucky events.
  • Attend meetings and prepare minutes. Follow through with deliverables from meetings to ensure completion.
  • Prepare documents, abstract data, presentations, and build reports.
  • Furnish financial reports to include purchases made, personnel expenditures, and reimbursement processed and pending. Process purchase requisitions required for grant including verification of all backup documents. 
  • Assist with the Grants & Development Officer with grants and grant report.
  • Manage project budgets, make purchases using procurements standards, and reconcile accounts.
  • Must learn the KCTCS business procedures and processes and learn PeopleSoft Financials and understand Peoplesoft HR financial reporting. 
  • Liaison for general public, general front desk office administrative with duties that includes but not limited to greeting visitors, answering phones, managing office equipment, managing daily computer work, scheduling meetings, ordering materials for meetings, and utilizing software systems.
  • Support processes and procedures and ensure best practices of knowledge of issues and trends.
  • Support the creation of initiatives to support strategic goals.
  • Other duties as assigned.

Qualifications:

Bachelor’s degree in business management, finance, accounting or similar with two (2) years of relevant work experience or equivalent. 

Additional Requirements:

  • Must possess strong project coordination skills.
  • This is a high-visibility position which requires the candidate to be onsite 5 days a workweek.
  • The individual must be confident in their interactions and possess a professional demeanor and work ethic.
  • This position plays a vital role in day-to-day operations. 
  • Ability to schedule and coordinate management’s calls/meetings via MS Teams and Outlook.
  • Arrange and initiate hybrid meetings.
  • Make travel arrangements and reconcile travel expenses for the team.
  • Answer and direct incoming phone calls and correspondence to the appropriate team member.
  • Coordinate scheduling of site visits and on-site events.
