Executive Assistant

We’re looking for a high-performing half-time Executive Assistant to support our dynamic leadership team of three. This role is critical to keeping our organization running smoothly—from behind-the-scenes logistics to frontline communication and everything in between.
What You’ll Do:
You’ll be the go-to person for administrative operations, data support, scheduling, and internal coordination for the team. If you love crossing things off your list, catching the small details, and ensuring your team is set up for success, this job is for you.
Key Responsibilities:
Administrative Support & Coordination
- Manage internal and external meeting scheduling, lunch orders, and travel logistics
- File receipts and compile monthly credit card reports
- Print and prepare meeting materials, flyers, and nametags
- Run occasional errands and manage mailings or special deliveries
Data Management & Reporting
- Compile weekly and monthly membership and financial reports
- Assist with revenue tracking and check request forms
- Maintain and update member and prospect records across systems
- Conduct regular data cleanup (de-duping, scrubbing, organizing lists)
- Support with Impexium CRM entries, event registration data, and social media handles
Project and Event Support
- Track RSVPs and compile attendance summaries for events
- Assist with event setup, takedown, and on-site logistics
- Support podcast and legislative event scheduling
- Help manage merchandise inventory and sponsorship tracking
- Provide first-round resume reviews and phone interviews
Marketing & Outreach Tasks
- Assist with member shoutouts, action alerts, and compiling contact lists
- Help research and curate prospect lists for membership or sponsorship leads
- Support toolkit and campaign follow-up efforts

What You’ll Need:
- Proven administrative or executive assistant experience
- High proficiency with Microsoft Office, Google Workspace, and database tools
- Strong attention to detail and ability to manage multiple priorities
- Excellent written and verbal communication skills
- Familiarity with CRM platforms and marketing tools is a plus
