Administrative Assistant

About Us:
Electro Magnetic Applications, Inc. (EMA) is a dynamic and growing organization. We’re looking for a proactive and detail-oriented Administrative Assistant to join our team and support key operational functions including purchasing, inventory tracking, and office management.

Position Overview:
The Administrative Assistant will play a critical role in keeping the office running smoothly and ensuring all purchasing and administrative tasks are executed efficiently. This individual will be responsible for sourcing supplies, coordinating vendor orders, maintaining inventory systems, and providing general office support to foster an organized and productive work environment.

Key Responsibilities:

  • Manage day-to-day purchasing of office supplies, lab materials, and general equipment.
  • Track and maintain inventory of office and lab assets using internal systems (e.g., Asset Panda).
  • Coordinate vendor relationships, order tracking, and delivery logistics.
  • Process purchase orders.
  • Support facilities-related requests and service coordination.
  • Maintain organized records for procurement and asset tracking.
  • Assist with planning and logistics for internal events and team travel.
  • Provide general administrative support to the Operations team and other departments as needed.

Qualifications:

  • Experience in an administrative or office management role, ideally with a focus on purchasing or procurement.
  • Strong organizational and time management skills.
  • High attention to detail and accuracy.
  • Excellent communication and interpersonal abilities.
  • Experience with procurement systems or asset tracking tools is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with Confluence or Salesforce is a bonus.

Pay: $50,000.00 - $65,000.00 per year
