Nature of Work: Under direct supervision, administers activities concerned with contracts for the Sales & Marketing and Legal departments which requires a range of skills and knowledge of the organizations’ policies and procedures. May resolve administrative problems and inquiries; compose, edit, and proofread correspondence and reports, and prepare a broad range of documents for internal and external customers about contractual milestones and status.
ESSENTIAL DUTIES and/or RESPONSIBILITIES:
1. Collaborates with the Sales & Marketing team to administer and monitor customer contracts performance.
2. Manages the contract review processes in alignment with internal compliance requirements across an organizational matrix environment.
3. Responds to standard inquiries regarding contract obligations and revisions, including assisting in proposal preparation for customer requirements.
4. Provides administrative support for the department such as answering questions regarding contract status, assisting visitors, and resolving and/or resolving a range of contract administrative problems and inquiries.
5. Prepares or assists with the preparation of scheduled and/or ad -hoc statistical and/or narrative reports.
6. Produces statistical reports, graphs, and charts to support contractual rights, obligations, and status.
7. Utilizes the ERP system to input data/sales orders, as well as verifying credit terms with credit department, including follow-up, and maintaining records of contract/project orders.
8. Sustains centralized contracts and agreements repository & contract management system to track status, renewal dates, and compliance requirements.
9. Ensures contracts and agreements comply with internal standard operation procedures by preparing the final contracts and agreements packet inclusive of all departments.
10. Other duties as assigned.
MINIMUM EDUCATION and/or EXPERIENCE:
1. Bachelor’s degree in Business Administration or related field; and working environment, a plus.
KNOWLEDGE, SKILLS and/or ABILITIES:
1. Basic understanding of contracts, terms and conditions and detailed knowledge of the contracting process; knowledge of the terms and conditions appropriate for different contract types and INCO terms. Basic knowledge of monitoring contracts within a manufacturing environment, a plus.
2. Work independently and with a wide variety of staff, departments and cultures while fostering a cooperative spirit within a large and/or small team.
3. Exceptional ability to handle sensitive material and maintain confidentiality.
4. Highly detail-oriented with good follow-through, highly organized, manage multiple projects simultaneously with excellent verbal and written communication and interpersonal skills. Strong accuracy in projects desirable.
5. Ability to prioritize, work with and meet deadlines and handle a high-volume workload in a fast-paced manufacturing environment.
6. Intermediate skills in MS Office (Outlook, Word, Excel, Power Point, and Internet Explorer) and DocuSign.
7. Intermediate level of reading and interpreting documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine e-mails and speak effectively across a functional matrix organization.
8. Add, subtract, multiply and divide in all units of measure using whole numbers, common fractions, and decimals.
9. Understand and follow standard operating and safety procedures.

1. Position involves frequent sitting at a desk (up to 6 hours/day) using the computer for data entry and other work applications.
2. Ability to stand and walk occasionally (up to 3 hours/day).
3. Ability to occasionally lift and carry items (such as packages) up to 25 pounds.
4. Ability to squat and kneel occasionally (up to 3 hours/day) to file records.
5. Ability to climb stairs or step stools occasionally (up to 3 hours/day).
6. Ability to reach with hands and arms occasionally (up to 3 hours/day) to remove materials from shelves.
7. Ability to finger, grasp and feel objects (such as files and mail items) occasionally (up to 3 hours/day).
8. Fine hand manipulation of light-moderate strength is required for computer work.
9. Requires close vision (clear vision at 20 inches or less) for computer work and distance vision (clear vision at 20 feet or more).
10. Ability to occasionally drive a personal or company vehicle for miscellaneous errands.
11. Must possess a valid driver’s license and remain qualified as a Driver under the Hydranautics Driver Policy.
12. Must be able to work extended hours per the demands of the business.
