Our company is expanding!!!! Winn Financial is hiring an office assistant to join our team!

Winn Financial & Management is a financial management company based in Westminster, CA. We have been a brand catering to those needing help managing their assets and financial advice. We are looking for a receptionist who can assist in welcoming, greeting clients, and helping the office the office as needed.

Job Summary:

The office assistant will greet, assist, and provide direction and information to clients, visitors, and other company guests and assist in any tasks the company would need.

Office Assistant Daily tasks

  • Greet, welcome, check in guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answers, screens, directs phone calls to the right person, takes messages, and schedules appointments. Check phone for missed calls and call them back
  • The report calls in the call log, check the company email, check the company group chat, and reply as soon as you can when there is a message
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures)
  • Provide basic and accurate information in person and via phone/email
  • Receive, sort, and distribute daily mail/deliveries
  • Schedule appointments for guests
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, faxing, and scanning.
  • Performs other duties as assigned

 

Requirements and skills

  • Bilingual a Plus
  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g., fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school degree
