Program Finance Coordinator, Educational Programs and Services

Job Description:

We are seeking a highly detail-oriented and organized Program Finance Coordinator to support the financial tracking, reconciliation, and reporting activities for a portfolio of accredited Continuing Medical Education (CME) programs. This position will work closely with Education Event Specialists and other team members to ensure accurate financial reconciliation of program-related expenses, timely coordination with finance teams, and clean closeout of educational activities. The ideal candidate thrives in a deadline-driven environment, excels at tracking complex information, and brings a high level of accuracy and professionalism to their work.

 

Schedule: 18 hours per week, scheduled Monday through Friday during regular business hours (8 AM – 5 PM PST), based on availability and program needs.

Work Agreement: Fully remote and open to candidates located within the United States

 

Core Duties

Financial Reconciliation & Support

  • Reconcile post-event financials including vendor invoices, internal journal entries, and participant refunds.
  • Review and confirm expense reports for alignment with approved budgets.
  • Coordinate with internal finance partners to ensure timely processing of payments and closeouts.
  • Track and follow up on outstanding expenses, charges, or discrepancies related to events and activities.

Tracking & Documentation

  • Maintain accurate and up-to-date financial records for all CME programs in progress.
  • Track program budgets, expenditures, and receipts across multiple concurrent activities.
  • Support the development of standard financial reports for internal tracking and leadership review.
  • Prepare and maintain audit-ready financial documentation for each activity.

Administrative Coordination

  • Assist with vendor onboarding and payment documentation as needed.
  • Support event staS in preparing budget summaries and final reconciliations.
  • Maintain shared folders and files to ensure easy access to financial documents by relevant stakeholders.

Compliance & Process Alignment

  • Ensure financial documentation aligns with Stanford policies and continuing education accreditation requirements.
  • Follow established workflows and checklists to maintain financial integrity and compliance
  • Participate in process improvement eSorts related to financial tracking and reconciliation.

Education & Experience

  • Associate degree or equivalent and three years’ work experience or an equivalent combination of education and experience. Relevant experience includes financial reconciliation, administrative coordination, or budget tracking for meetings and

Knowledge, Skills, and Abilities (Required)

  • Strong attention to detail and commitment to financial accuracy
  • Experience managing multiple concurrent deadlines and reconciling complex datasets
  • Excellent time management, organization, and communication skills
  • Proven ability to work independently while supporting a team-based environment
  • Professional judgment in escalating financial discrepancies or compliance concerns
  • Proficiency in Microsoft Excel or Google Sheets
  • Comfortable learning new platforms and systems related to finance or event tracking

Knowledge, Skills, and Abilities (Desired)

  • Bachelor’s degree with at least one year of relevant experience, or an equivalent combination of education and experience. Relevant experience includes financial reconciliation, administrative coordination, or budget tracking for meetings and conferences.
  • Familiarity with academic or medical education program finances
  • Experience with reconciliation, journal entry processing, or event finance workflows

This remote role is open to candidates anywhere in the United States. Stanford University has five Regional Pay Structures, and the compensation for this position will be based on the successful candidate's location.

The expected pay range for this position is $22 - $29 per hour.
