SUMMARY

The Parts & Service Marketing Specialist plays a key role in shaping and executing events, communications, and recognition programs that engage our retailers and field teams. This position is ideal for a highly organized, collaborative marketer who thrives in a fast-paced environment and enjoys managing complex projects, building cross-functional partnerships, and driving engagement across our Fixed Operations organization.

MAJOR RESPONSIBILITIES

  • Events & Conference Management • Plans and executes the Aftersales Business Conference (ABC), handling all logistical, content, budget, and stakeholder coordination before, during, and after the event. Collaborates with the National Business Conference (NBC) team and executive stakeholders. Overall project management tasks include but are not limited to conducting site visits, supporting contract negotiations, budget preparation, theme and scope definition, leading and coordinating stakeholders, executive reviews, director and management engagement, retailer participation reporting, defining the agenda, expo planning, selling sponsorship and exhibitor spaces, employee and field participation, conducting and organizing rehearsals, and all creative assets including enrollment registration and signage. The ABC occurs every other year. • Serves as day-to-day contact for agency partners, field teams, internal stakeholders, event management company, and venues related to ABC and other events. • Develops and oversees the Fixed Operations exhibit and booth presence at the NBC, including on-site execution and executive support. Maintains responsibility for the layout, the theme, scorecards, ordering, and stakeholders. • Coordinates the Fixed Operations presence at the National Training Conference (NTC). • Plans and administers all aspects of quarterly Field Manager meetings and the New Retailer Orientation for Fixed Operations. • Organizes and leads the annual Vendor Summit. • Maintains detailed event budgets and ensures alignment with department goals.
  • Field Communications • Ensures alignment and synergy between programs, events, and communications by maintaining regular two-way dialogue with Subaru of America (SOA) Field and retailers. • Coordinates and facilitates monthly meetings and calls with the SOA Field team including Fixed Operations and Marketing positions. • Develops the Fixed Operations Punchlist and related communication tools. • Creates and distributes campaign recaps, planning documents, and self-help field tools. • Maintains responsibility for recall reporting and distribution. • Oversees retailer aftersales program enrollment.
  • Retailer Recognition • Leads the nomination, selection, and executive recommendation process for the Aftersales Excellence Award. • Coordinates content development and recognition plans for award presentations and celebrations.
  • Integrated Support Across Aftersales • Provides support on cross-functional and time-sensitive initiatives that align with broader aftersales objectives. • Stays adaptable to shifting priorities and contributes where needed to help drive team success. • Collaborates with other Aftersales teams to assist on projects, reinforcing a unified and integrated approach to achieving shared goals.
  • Assists with ensuring that budget is fiscally accountable and aligned with strategic goals for meetings, which includes the following tasks: • Compiles, oversees, and tracks budget parameters for event initiatives. • Assists with review and reconciles actual expenditures against planned budgets. • Partners with event planning, finance, and vendor teams to ensure accurate forecasting. • Monitors financial milestones and identifies potential variances or cost-saving opportunities. • Provides regular budget status updates and reporting to leadership. • Supports post-event financial analysis and close-out processes. • Ensures adherence to corporate finance policies and approval workflows.

REQUIRED SKILLS & PERSONAL QUALIFICATIONS

  • Bachelor's Degree in Marketing, Communications, Business Administration, or related field required
  • At least three (3) to five (5) years of experience in event planning, marketing, or project management required
  • Strong analytical, organizational, and project coordination skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook).
  • Ability to manage multiple projects with a sense of urgency and strong attention to detail.
  • Comfortable interacting with senior leadership and managing high-profile events.
  • Experience in the automotive industry, preferably in field operations, fixed operations, or retailer engagement, Preferred
  • Prior experience working with marketing campaigns or cause marketing initiatives Preferred
  • Familiarity with vendor/agency management and budget oversight Preferred

WORK ENVIORNMENT

  • Hybrid Role: Remote work 2 days per week (After 90 Days Onboarding)
  • Travel Required:15%

COMPENSATION: The recruiting base salary range for this full-time position is $70000 - $90,000 / year. Within the range, individual pay is determined by factors, including job-related skills, experience, and relevant education or training. (Internal Job Grade: P2)
