Warehouse and Purchasing Coordinator

Objective

To support the efficient execution of projects by managing all warehouse operations and purchasing activities—ensuring production gear is organized, maintained and delivered on time, while sourcing materials and equipment in a cost-effective and timely manner.

Key Responsibilities

  • Source and negotiate with vendors for equipment, consumables and supplies
  • Issue and track purchase orders, monitor delivery timelines and follow up on delays
  • Analyze pricing trends and identify opportunities for cost savings
  • Research and understand market conditions and sources of future supply needs
  • Collaborate with Finance and Operations Ministries to develop, implement and maintain organizational policies and procedures
  • Optimized end-to-end procurement workflows, reducing inefficiencies and strengthening coordination between purchasing, finance and operations
  • Manage purchasing operations across multiple ministries, monitoring inventory levels and coordinating with ministries to ensure efficient and uninterrupted operations
  • Monitoring monthly expenditures and ensuring accurate cost tracking for ongoing projects
  • Maintain strong relationships with existing suppliers, ensuring reliable and high-quality supply
  • Monitor supplier performance and address any issues related to delivery, quality or pricing
  • Assist with tracking and managing inventory to prevent shortages and overstock situations
  • Provide support and guidance on procurement processes and best practices
  • Receive, inspect and document incoming shipments; update inventory systems
  • Conduct regular cycle counts and reconcile discrepancies
  • Schedule and perform routine maintenance and QC checks on all equipment
  • Organize, label and store equipment for easy retrieval
  • Build racks, prepare kits and assemble orders for deployments
  • Stage, pack and dispatch equipment for each project, ensuring manifests and checklists are accurate
  • Maintain a project-tracking system under guidance
  • Liaise with project teams to forecast upcoming equipment needs and delivery dates
  • Provide updates on order statuses, inventory levels and potential bottlenecks
  • Train and support warehouse staff and serve teams on workflows and best practices
  • Other duties as assigned

Education and Experience

  • Proven experience in procurement or purchasing, preferably in a church, non-profit or event production environment
  • Strong negotiation and supplier management skills

  • Attention to detail and accuracy in processing purchase orders and maintaining records
  • Effective communication skills, both verbal and written
  • Proficiency in procurement software and tools
  • Ability to work independently and as part of a team
  • Knowledge of relevant regulations and compliance requirements

Position Type/Expected Hours of Work

This is a full-time, non-exempt position. Days and hours of work may vary based on church needs. Typical work hours are 8am-5pm Monday through Friday with occasional weekends requirements throughout the year.

The church has several big events, (“All-Skates”) throughout the year to help further the mission of Eleven22. These events are mandatory for all staff to be in attendance and may vary, depending on the vision cast for the current year.

Work Environment

This position will operate within an independent work environment, responsible for managing all warehouse operations autonomously. This position demands a self-motivated and proactive approach to ensure smooth functioning. This position uses standard office equipment, forklifts and other machinery for inventory management.

Physical Demands

This job will require the ability to lift up to 50 pounds. This position is based primarily in a warehouse setting that is not climate-controlled.

Ministerial Exception

The ministerial exception furthers the purposes of the Free Exercise and Establishment Clauses of the First Amendment by barring legal claims against church bodies by staff members who perform religious functions. All church pastors are subject to the exception, but a formal ministerial credential is not required. While there is no rigid formula to determine other church staff members that qualify, various factors are considered to determine which staff members are subject to the ministerial exception (please see handbook).
