Administrative Assistant
Administrative Assistant – Memphis, TN
Advocates for Immigrant Rights is seeking a college student to fill one part-time position in the role of Administrative Assistant for our Memphis office. We need someone who is organized, self-driven, and motivated with the ability to identify solutions to issues as they arise.
This is a part-time hourly position, to start immediately. The Administrative Assistant will provide administrative support for Advocates for Immigrant Rights.
Duties include:
- File documents at Shelby County Probate Court and Memphis Immigration Court
- Prepare and post outgoing mail daily
- Review payments and records weekly
- Create and maintain physical files
- Process incoming mail daily
- Call clients to let them know about biometrics appointments or USCIS interviews
- Log receipt notices in the case profile
- Pick up mail from the post office
- Date stamp all mail received
- Scan all mail and sort PDFs into Dropbox file called “Mail to be Sorted” according to which Case Worker is indicated on the Case Profile in data tracking website
- Enter logs about what mail was received
- Call clients to let them know to expect about upcoming appointments or interviews
- File all documents in physical files
- Where client is remote:
- Print PDF w/ cover letter and forms
- Mail to address on cover letter
- Use Stamps.com to print appropriate postage
- Include return envelope/postage if appropriate
- Enter a log on client profile indicating when package was sent and the tracking number if applicable
- Participation in Staff Meetings
- Community outreach
- Other administrative duties as required.
Must demonstrate a willingness to help others (both clients and staff). Must have reliable transportation. Must have at least a High School Diploma or GED. Required skills include fluency in English, basic proficiency with technology, including Microsoft Office Suite (specifically Word and Excel), Google Suite and Adobe Acrobat. Bilingual is preferred.
Starting hourly wage is $15.00 with increases upon successful demonstration of mastery of duties.
