Office & Administrative Manager

At Brandon’s House Counseling Center, we don’t just manage schedules and answer phones — we create a safe, welcoming space where teens and families find hope, healing, and support. We’re looking for an Office & Administrative Manager who thrives on organization, cares deeply about mental health, and wants their daily work to truly make a difference.

In this vital role, you’ll help keep the heartbeat of our nonprofit counseling center steady and strong — ensuring smooth communication between counselors and clients, maintaining a calm and professional environment, and supporting the behind-the-scenes operations that allow healing to happen.

Key Responsibilities:

Scheduling & Client Coordination:

  • Maintain client intake/information, wait list and appointment scheduling.
  • Communicate with counselors and interns to keep schedules updated.
  • Answer and direct all communication (phone, texts & emails), ensuring prompt and professional responses.
  • Follow all HIPAA guidelines in handling client information.

Office Administration & Environment Maintenance:

  • Maintain & update BHCC’s EHR (Theranest – client info & schedule) 
  • Handling correspondence with donor base & other partners of BHCC (via Neon CRM)
  • Establish a quiet, clean, and clinically conducive environment.
  • Process donations deposits & maintain in CRM.
  • Keep track of office supplies & utilization (including snacks & cleaning supplies) in coordination with the Executive Director.

Volunteer & Event Coordination:

  • Interview, onboard, and manage volunteers for after-hours counseling support & admin responsibilities.
  • Attend and assist with all organizational events, including fundraising efforts.
  • Manage and update the donor database in Neon CRM & OneCause.

Design & Creativity (preferred):

  • Use Canva for light design work (flyers, social media graphics, etc.).

Qualifications & Skills:

  • Strong organizational and self-driven abilities.
  • Excellent verbal and written communication skills.
  • Experience with scheduling, database management & administrative roles.
  • Proficiency in EHRs & Neon CRM & possibly Canva (or willingness to learn).
  • Ability to maintain a professional and welcoming presence for clients and staff.

Work Schedule & Expectations:

  • Full-time (32 hours/wk) - 4 days per week (Monday–Thursday, 9 AM – 5 PM).
  • In-person role at Brandon’s House Counseling Center.
  • Must be available for occasional evenings/weekend events.
