Administrative Assistant

We are seeking a reliable and detail-oriented Administrative Office Assistant to join our wealth management team. This individual will be the first point of contact for clients, responsible for answering phones, managing calendars, scheduling and confirming meetings, and providing general administrative support to ensure the smooth operation of the office.

Key Responsibilities:

  • Answer and direct incoming phone calls in a professional manner
  • Schedule and confirm client meetings and internal appointments
  • Maintain and manage calendars for advisors and staff
  • Perform general administrative tasks such as filing, data entry, scanning, and document preparation
  • Provide excellent client service and support with a high level of confidentiality
  • Coordinate with other team members to ensure timely follow-ups and task completion
  • Assist with preparing reports, correspondence, and client materials as needed

Qualifications:

  • Prior administrative or office support experience preferred
  • Excellent communication and organizational skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • Ability to multitask and prioritize in a fast-paced environment
  • Professional demeanor and strong attention to detail

Compensation:

Position is expected to pay $25 per hour
