Job Summary

As the Records Management Library Specialist, you will assist in maintaining the Minnesota Pollution Control Agency (MPCA) Library collection so that it meets current collection policy and internal and external customer needs. The incumbent will research and process library requests from internal and external customers to ensure MPCA reports are properly digitized and stored in MPCA information systems in accordance with established processes, requirements and guidelines. The incumbent also assists with the review and processing of library materials held in off-site storage. The incumbent will also process MPCA historical records into the MPCA databases.

Minimum Qualifications

Basic principles, practices and techniques of database management with the ability to research, maintain, update and retrieve information from database systems.

Ability to use computer programs (e.g., Microsoft office products, Word, Excel, Power Point, Teams, Intranet/internet, Outlook) and equipment (e.g. computer, scanner, photocopier, label machines). 

Skill in customer service to respond effectively to customers who have questions about agency operations and procedures (in person, on the phone, and through public presentations).

Ability to understand and follow written and verbal instructions.

Data entry experience to include accuracy and attention to detail.

Writing skills, including business English, grammar and spelling, necessary to organize and effectively present ideas to the intended audience.

The Minnesota Pollution Control Agency will not sponsor applicants for work visas. In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and to complete the required employment eligibility verification form upon hire.

Preferred Qualifications

Experience indexing records in a document management system.

Experience in document entry.

Experience using TEMPO, OnBase or other database software.

Experience working in a library setting with exposure to library systems or processing library materials.

Knowledge of data practices requirements when working with data and the ability to keep confidential information private and handle it appropriately.

Ability to follow checklists with multiple steps for library and records processing.

Ability to function both independently and in a team environment with a strong focus on Collaboration.

Physical Requirements

Requires occasionally lifting and/or carrying such articles as file folders, ledgers and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties.
