We're seeking a detail-oriented Financial Assistant to support our internal financial operations and help maintain strong fiscal discipline across all verticals of the business.
Role Overview:
The Financial Assistant will play a key role in maintaining accurate financial records, supporting budgeting and forecasting, managing receivables and payables, and assisting the CFO with day-to-day financial and administrative tasks. This person will work closely with our internal production, experiential, and brand teams to ensure smooth and compliant financial processes across all projects.
Key Responsibilities:
Financial Record-keeping
Maintain and update financial records including general ledgers, balance sheets, and internal reports.
Accounts Payable & Receivable
Create and send company receivable invoices, process vendor invoices, and assist with vendor and client communication tracking.
Budgeting, Forecasting & Actualization
Support the budgeting and forecasting process, track actuals, and help ensure each project's spend aligns with financial projections and margins.
Project Tracking
Track project-level budgets and spending, reconciling against forecasts and flagging discrepancies or overages.
Account Reconciliation
Reconcile bank statements, internal accounts, and vendor/client transactions on a regular basis.
Reporting
Assist in preparing internal financial statements, monthly reports, and ad-hoc presentations.
Compliance & Audit Support
Ensure adherence to accounting standards and support documentation needs for both internal and external audits.
Cross-Team Communication
Liaise with internal departments, clients, and vendors on financial matters and documentation as needed.
Administrative Support
Support the CFO with financial administration, document organization, and general day-to-day tasks.
Qualifications:
2+ years of experience/internship in finance, accounting, or bookkeeping (creative agency experience a plus)
Proficiency in QuickBooks, Excel, Google Slides, and Microsoft Word
Strong attention to detail and organizational skills
Ability to manage multiple tasks and deadlines in a fast-paced environment
Excellent written and verbal communication skills
Familiarity with budgeting and actualization processes for creative or production projects is a plus
