Project Administrative Assistant

The Project Administrator is primarily responsible for assisting project teams with administrative tasks as well as project accounting, scheduling, and document control. The Project Administrator helps keep the project on track and functions as a liaison between our customers, project vendors and contractors, the project team, and our finance department.
Primary Responsibilities
- Prepare process, log, and file incoming and outgoing project documents while maintaining the project’s document filing system.
- Prepare and distribute project documentation such as progress reports, control sheets, and transmittal logs, etc.
- Project accounting, including cost tracking, billing, and reporting.
- Coordinate appointments, events, and travel for project team as needed.
- Plan, schedule, and facilitate project meetings as well as attend to take and maintain meeting minutes.
- Coordinate the receiving, tracking, and distribution of contract documents such as drawings, specifications, etc.
- Assist with Change Order management by regularly updating and distributing change order logs.
Qualifications
- Knowledge of industry standards with at least 2 years of EPC project administration experience.
- Proficient in Microsoft Office applications, including Microsoft Project, as well as administrative procedures.
- Knowledge of the principles and practices of basic construction project management.
- An attitude and commitment to being an active participant of our small firm culture is a must, along with a tolerance for ambiguity.
Work Environment
This position operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. While performing this job, the employee may also be required to visit projects and may be exposed to ongoing construction and various weather conditions. The noise level on project sites may range from moderate to loud.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit, talk, and hear. The employee is frequently required to use hands to finger, handle or feel. The employee is occasionally required to reach with hands and arms. The employee may also occasionally lift and move up to 25 pounds.
Position Type and Expected Hours of Work
This is a part-time position. Days and hours of work may be specific to each project. Some flexibility in hours may be allowed as projects permit.
Travel
Travel is primarily local during the business day, although out of state travel may be necessary for project coordination.

Pay: $24.00 - $28.00 per hour
Expected hours: 20 – 25 per week
