Purpose:
The Credit Union Support Services Supervisor is responsible for managing the day-to-day operations of the Support Services team, which provides critical back-office support to multiple departments across the credit union. This role ensures the accurate and timely handling of collateral-related loan processes, including lien perfection, payoffs and lien releases, total losses, GAP claims, and Collateral Protection Insurance (CPI) tracking and processing. The supervisor ensures compliance with internal polices, regulatory guidelines, and member service standards.
Duties and Responsibilities:
- Supervise, train, and support the Support Services team to ensure efficient workflow and accuracy in all processes.
- Serve as a liaison for the Credit Union to process and perfect liens with the State of
- Alaska, ensuring accurate and timely filing in compliance with state regulations.
- Understand DMV Regulations: Stay up to date with DMV requirements and changes in
- the process of title lien perfection.
- Oversee lien perfection processes, ensuring titles are obtained, recorded, and perfected accurately and timely. This includes following up with dealerships, financial institutions, and other vendors as needed to resolve any delays in the filing process.
- Act as liaison for CPI administration with vendor, including coordinating the placement and removal of CPI coverage as needed.
- Manage collateral payoffs and ensure the proper release of liens.
- Review and process total loss notifications; work with insurance companies, members, and internal departments to ensure proper handling. Coordinate GAP claim submission and follow through to resolution, ensuring timely refunds or claim payments.
- Maintain and update procedures to ensure compliance with regulatory changes and best practices.
- Conduct quality control reviews and monitor daily task completion to ensure accuracy and efficiency.
- Monthly GL Balancing and assisting in ensuring appropriate fees are collected.
- Provide performance feedback and coaching to staff, assisting or conducting monthly one-on-ones and annual reviews.

Qualifications:
- Current Alaska Notary Public preferred, or ability to obtain.

- Dependable with attendance and tardiness.
- Internal applicants: Minimum 6 months with the credit union
• Experience: One year to three years of similar or related experience.
• Education: (1) A two-year college degree, or (2) completion of a specialized certification
or licensing, or (3) completion of specialized training courses by vendors, or (4) job specific
skills acquired through an apprenticeship program.
• Interpersonal Skills: Work involves much personal contact with others inside and/or
outside the organization for first-level conflict resolution, building relationships, and
soliciting cooperation. Discussions involve a higher degree of confidentiality and
discretion, requiring diplomacy and tact in communication.
• Other Skills: General office equipment such as calculators, Microsoft products,
computers, photocopiers, telephones, and scanners. Basic knowledge of established CU
procedures and policies. Understanding of Credit Union operations. Maintains
confidentiality related to Credit Union operations and work-related information.
